How to Set Up an Automated Email for When an Opportunity is Closed as Won?

This blog will show how users receive emails when any Opportunity is marked as Won. For this, we will create a workflow, and we will have it called at a time when the Opportunity record status changes. Follow the below steps to create a workflow:

Step 1: Go to Settings > Processes

Step-1

Step 2: Now click the NEW button to create a new process.

Step-2

➢ Now fill in the below details for the workflow:

  • Process name: Give the proper name.
  • Category: Choose workflow
  • Entity: Select Opportunity.

➢ After filling in the details, click on the OK button.

Step-3

Step 3: Now, Configure the workflow.

– In this step, we will set the condition to send the email.

A. Set Start When: Check the checkbox for Record status changes. Here we want to call workflow on change of status.

Step-4

B. Now, we will add steps and actions for the particular condition.

➢ Below are the steps :

1. Click on Add Step and select Check Condition

– This step will check whether the Opportunity is marked as Closed or Won.

➢ Type the description and click to configure the condition.

Step-6

➢ It will open a pop-up to set condition; set condition as shown in the below image.

Step-7

➢ After setting the condition, click Save & Close; now, we will add a step if the condition is true.

➢ Select the row below the condition to specify the step.

2. Click on the Add step and select Send Email.

– In this step, we will set properties to send emails, like who will be the receiver and sender and what will be the subject and description.

Step-9

– Now we will configure the send email step and choose Create New Message if the user wants to create a new email or select User Template to send email via a previously created template.

Step-10

– Click on Set Properties. It will open a pop-up to set email details.

– Set the properties like From, To, Subject, Description, etc.

Step-11

– Click on Save and Close.

– So in this way, the user needs to configure the steps for workflow.

Step 4: Click on Save And Activate the workflow.

Step-12

So in this way, users can set up a workflow for winning Opportunities. Whenever any opportunity is marked as Won, the user will receive an email using this workflow.
